Migration

Moving to Ulka

Whether you are leaving a spreadsheet, Zoho Books, Qoyod, Daftra or QuickBooks, the work is the same and it is smaller than people expect. Here is exactly what it involves, including the parts that are still manual.

What comes across

Customers and suppliers
Import from CSV, including contact people, payment terms and opening balances.
Products and services
Import with categories, units, prices and barcodes. Services import alongside stocked products.
Opening stock
Enter per branch as an opening quantity and cost, so valuation starts from a number you chose.
Opening balances
Your trial balance as at the switch date is entered once against the chart of accounts.
Employees
Added in the app rather than imported. For most small businesses this is a short afternoon, and it is done once before the first payroll run.

How the switch goes

  1. 1

    Pick a switch date

Almost always the first day of a month, and in Saudi Arabia ideally the first day of a VAT period. You keep issuing invoices in your old system until that date and nothing runs in parallel.

  2. 2

    Bring in the lists

Customers, suppliers, products and services, as CSV. This is the bulk of the work and it is usually an afternoon, because these are the files your old system can already export.

  3. 3

    Enter the opening position

Stock on hand per branch, and the trial balance as at the switch date. Your accountant gives you both, and they are entered once.

  4. 4

    Connect ZATCA

Saudi organizations onboard their device and certificate before the first invoice. It is a one-time step and it takes minutes, not a project.

  5. 5

    Issue from Ulka

From the switch date every new invoice, bill and payment goes into Ulka. Old documents stay in the old system as a record. You are not migrating history, you are changing where new work happens.

The questions everybody asks

What about my old invoices?

Leave them where they are. Copying years of closed documents into a new system creates work and risk for very little value; what you need is your opening balances, which carry the result of that history in one line each. Keep your old exports and backups for the period the tax authority requires.

What about invoices that are still unpaid?

Those you do bring, as open items against each customer or supplier, so your receivables and payables in Ulka match reality on day one. Paid and closed documents do not need to come.

How long does it take?

For a small business with clean lists, a day or two of work spread over a week, most of it waiting on the opening trial balance from your accountant. The founding offer runs for three months, which is deliberately long enough to move at your own pace rather than over a weekend.

Can I try it before committing?

That is what the free period is for. Set up a organization, import your product list, issue a few test documents and see whether the system fits how you work before you move anything that matters.

If you get stuck

Send us your export files and we will tell you what maps where before you start, with no obligation and no charge. We would rather spend an hour on that than have you abandon a migration halfway. Get in touch.
